In this comprehensive guide, we will walk you through the booking process with Trip Quest and provide you with all the information you need to plan the perfect trip. These booking terms fully apply when you are booking a tour with Trip Quest. Please do read it carefully and do let us know if you need any clarifications.
Booking CONDITIONS
When you book a trip with Trip Quest, you enter into a contract with our licensed franchisees in Tanzania and Kenya (Trip Quest Safaris Limited). These Booking Conditions form the entire agreement between you and us. By making a booking, you are deemed to have agreed to these conditions. It's important to note that your booking will only be accepted once you receive a booking confirmation from us via link/pdf shared in email.
VALIDITY OF THE BOOKING
Your booking is considered valid only after you receive the booking confirmation via link/pdf shared in email. The confirmation email will serve as proof of your booking, and a contract between us will come into existence on the date of issuance. It's crucial to wait for the booking confirmation after making the advance deposits.
DEPOSITS AND PAYMENTS
To confirm your booking, you are required to pay a deposit. The amount of the deposit may vary depending on the specific trip you choose. Please refer to the booking confirmation for the deposit amount. Keep in mind that different trips may have different deposit requirements.
Once we accept your booking after paying the advance, we will send you a confirmation email. This confirmation email serves as acceptance of your booking and establishes the contract between us. Details regarding final payments can be found in the booking confirmation. The balance of the trip price is due before the departure date. Failure to pay the balance by the due date may result in the cancellation of your booking.
COSTING AND SURCHARGES
At Trip Quest Safaris, we aim to provide upfront pricing to help plan your dream African adventure. However, some variability is to be expected given fluctuations in operating costs and demand trends as it is common across the travel industry. A quote is valid for a limited time period after sending it in email. To secure rates, a deposit is required before expiration. Once deposited, pricing will not increase barring unforeseen market changes outside our control. Re-quotes may reflect increases, so booking promptly locks in savings. Rates shared with you via email will represent current currency valuations but international exchange rates apply if you are paying in different currency than USD. We reserve the right to increase prices proportionately if operating expenses like increase in park fees, concession fees, fuel costs, accommodation prices and etc substantially from factors outside our control. You will be responsible for increased amounts and will have to clear it during the balance payment. If you think the increase is too much then you can cancel the tour and the standard cancellation policy will be applied. No additional costs will be incurred beyond deposits once travel is booked and paid in full. Credit card payments may be subject to small processing fees ranging from 4-6% as it is standard african banks policy. We always strive for maximum transparency.
PROVIDING YOUR DETAILS
To complete your travel arrangements, we require some important details from you. Those include your full name (as it appears on your passport), date of birth, nationality, passport number, passport issue and expiry dates, and any pre-existing medical conditions that could affect your trip. You will also need to complete a Self-Assessment form, which will be given during the pre-tour briefing. If we don't receive these details, it could lead to extra charges or a non-refundable cancellation of your trip.
HEALTH REQUIREMENTS
Before embarking on your safari and trekking adventure, it's essential to ensure that you are physically fit for full participation in the trip. We are just a travel company with very limited medical experience, so it's your responsibility to seek proper and detailed medical advice from travel health clinic regarding the latest health requirements and recommendations for your destination. Failure to do so may result in you being denied entry to a country or personal injury for which we hold no liability.
INSURANCE
We highly recommend that all travelers purchase travel insurance at the time of booking or after the booking. Your insurance should cover personal accidents, death, medical expenses, emergency repatriation, cancellation, curtailment, personal liability, and loss of luggage and personal effects, with a minimum coverage of $200,000 for each category. Please make sure your travel insurance meets these requirements.
CHANGES AND FLEXIBILITY IN ITINERARY
Understanding the need for flexibility is crucial for safari and trekking adventures. Local events or circumstances may require changes to the itinerary, including routes, schedules, amenities, and transportation methods. The provided itinerary represents planned activities, but alterations may occur without prior notice. We strive to follow the planned itinerary, but unexpected circumstances may necessitate adjustments. (a) Before the tour starts - if we need to make a significant change to your original itinerary, we will inform you as early as possible. You can choose to accept the change, receive a refund for the affected portion of the trip, or opt for an alternative tour. (b) After the tour starts - Trip Quest reserves the right to change the itinerary due to local circumstances or unforeseen events. In emergency situations, any additional costs from necessary itinerary changes will be your responsibility, although Trip Quest will strive to minimize such occurrences. We are not liable for incidental expenses you incur due to itinerary changes on your end, such as visa issues, vaccinations, or non-refundable flight cancellations. It's important to remain open to alternatives and maintain flexibility during your adventure.
TOUR GUIDE/LEADER
Our group trips are led by experienced tour guides with the authority to make decisions for the safety and well-being of all travelers and staff. If you do not comply with the tour guide’s decisions or disrupt other’s well-being or mobility, the tour guide or manager may require you to leave the trip immediately without a refund. It is your responsibility to follow the laws, customs, foreign exchange, and drug regulations of the countries you visit and to travel in accordance with our responsible travel guidelines.
Risks involved in Tours
Participating in a safari and trekking adventure involves a degree of personal risk. You will be visiting places where political, cultural, and geographical challenges may exist. We assess the feasibility of itineraries based on information from government foreign departments and our own contacts in the local govermentss. However, it is your responsibility to familiarize yourself with all relevant travel information and the nature of your itinerary. By deciding to travel, you acknowledge the personal risks associated with such adventures and accept that you are aware of these risks.
Limitation of Liability and Jurisdiction
We shall not be liable for any damage or loss if the failure to carry out the contract is attributable to you or a third party unconnected with our services. We are also not liable for unforeseen and unusual circumstances beyond our control, political disputes, border closures, visa refusals, industrial action, climate conditions, or other force majeure events. We cannot be held responsible for events that we could not foresee or forestall, even with due care. Our liability is limited to the extent permitted by law. Any disputes arising under or in connection with this agreement will be adjudicated exclusively by the courts of Tanzania and Kenya only.
Claims and Complaints
If you have a complaint during your trip, please inform your tour guide or operational manager immediately so that they can address the issue promptly and resolve it ASAP. If the matter is not resolved to your satisfaction, you should put your complaint in email and submit it to us within 30 days of the tour's end so we can investigate the issue and provide optimal solution.
Severability of Contract
If any term or condition in these Booking Conditions is unenforceable or void, it shall be severed from the contract or amended accordingly to allow all remaining terms and conditions to continue as binding.
Photos and Marketing
By booking a trip with Trip Quest, you consent to the use of images taken during the trip for advertising and promotional purposes in any medium chosen by us. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use these images for publicity and promotional purposes.
Privacy Policy
We collect personal information about you to operate the trip and send you marketing materials related to our events and special offers. This information may be or may not be disclosed to our agents, service providers, or other suppliers to facilitate trip operations. Your personal details will be treated in accordance with our privacy policy.
